Exporting Data


The data from scanned questionnaires can be exported to facilitate any further analysis required.

Exported data is always based on the scanned questionnaires included by the currently defined filter criteria (see Filtering Scanned Questionnaires).

Data can be exported in three different formats
  • Questionnaire by questionnaire (standard export) done in a comma separated variable file.
  • As raw data in a fixed record text file.
  • As counts of the responses selected.

    To perform a standard export
  • Ensure that all the data required for export is included by the current filter criteria.
  • On the toolbar left click or alternatively from the Process menu, select Export.
  • Make the appropriate selections in the Export Options dialog.


  • Select the file to export to in the Select Export File dialog.

    Below is an example of a standard export file viewed in a text editor



    The export contains a header record then one record for each scanned questionnaire. There are three record ID fields, a sheet number, a batch number and a batch title. Each one of many option question generates a single field (e.g. R14 to R17). Each many of many question generates a field for each available option (e.g. R18O0 to R18O4).

    To perform a raw data export
  • Ensure that all the data required for export is included by the current filter criteria.
  • In the Process menu, select Export Raw Data.
  • Select the file to export to in the Select Export File dialog.

    Below is an example of a raw data export file viewed in a text editor



    The export contains one record for each scanned questionnaire. Each response area from the questionnaire generates either a "1" if it was filled or a "<" if it was left blank. The order of the responses is the same as on a printed grid of the questionnaire (see Printing a Questionnaire Grid).

    To perform an export of the counts of responses
  • Ensure that all the data required for export is included by the current filter criteria.
  • In the Process menu, select Export Counts.
  • Select the file to export to in the Select Export File dialog.

    Below is an example of an export file of counts viewed in a text editor



    The export contains a header record then one record for each text area with associated response areas which were used and are flagged to be reported on (see Inhibiting Text from being Reported On). For each exported text area there is the text area number, the text associated with the text area, the mean score where appropriate and for each response used four further fields.  

    The fields for each response are the character, text and score associated with the response and then the quantity of times the response has been selected in the currently filtered set of scanned questionnaires.

    Responses which were not allocated scores (see Editing Response Details) will have a hyphen inserted in place of a mean or scores.
